1. Does it run the whole journey, or just one slice?
Many "breeder tools" do one thing — pedigrees, or a waitlist, or a website widget — and leave you stitching the rest together. The pain you're trying to escape is fragmentation, so a tool that only covers pedigrees just moves the seams around. Ask: can one record carry a dog from breeding decision through litter, waitlist, buyer, contract, and payment? If you have to re-enter the same puppy in three places, you haven't solved the problem.
2. What happens to the buyer's experience?
Your reputation lives in how families feel from deposit to pickup. Look hard at the buyer side: is there a real portal where a family sees their puppy's photos, records, and documents? Can they sign the contract and pay online without installing anything? A tool that's all breeder-facing dashboards and leaves buyers on email-and-text is missing half the job.
3. Does it work WITH your website, or fight it?
You probably already have a website you like. The question isn't "does this replace my site" — it's "does this keep my site honest without double entry?" Ideal: available puppies and litters publish from your records to the site you already have. Acceptable: applications from your site flow into the tool. A red flag: you must rebuild your website on their platform to get the good features. (The best case: a vendor who can also design your website properly, so the site and your records are wired together from day one — without locking you in.)
4. How do payments actually work — and who holds the money?
Read this part twice on any tool. Two things matter:
- Does the money land directly with you? Some platforms route payments through themselves and pay out later. You want deposits and balances hitting your account through your processor, with the software never holding your funds.
- Are you locked to one processor? If you already use Square, Stripe, or PayPal, being forced onto a single option is friction — and sometimes higher fees.
5. Who owns your data, and can you leave?
This is the question that gets skipped and matters most. Before you type in five years of records, ask: Can I export everything, anytime? What happens to my data if I cancel? Will they help me migrate out? Software you can't leave isn't a tool, it's a hostage situation. A confident vendor makes leaving easy because they don't expect you to want to.
6. What does it really cost? (The pricing traps)
The headline price is rarely the whole story. Watch for:
- Feature tiers — where the thing you actually need (the buyer portal, payments, more than N dogs) lives two tiers up.
- Per-litter or per-dog fees that scale with a good year — you get punished for growing.
- Transaction cuts on top of your processor's fees.
- Setup or migration fees to get your existing data in.

7. Is there a human when it breaks?
